A Public Client is seeking Junior Project Administrator to provide support services focused on Records Management Systems Administration. The role involves assisting with project administration tasks to support quality engineering and testing initiatives.
Mandatory requirements
- College or CEGEP Diploma / Certificate
- Relevant Professional Certification
- Minimum of 48 months of experience, within the last 60 months, providing project management support.
- Successful candidate is competent using the Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel. Demonstrating experience by showing:
(a) A minimum of 24 months of experience, within the past 60 months, working with Microsoft Office Suite; or
(b) A minimum of 2 days of formal training in the Microsoft Office Suite followed by a minimum of 12 months of experience, within the past 60 months, working with Microsoft Office Suite. A Certificate of completion of formal training required. - Successful candidate is competent using Microsoft SharePoint. Demonstrating experience by showing:
(a) A minimum of 24 months of experience, within the past 60 months, working with Microsoft SharePoint; or - (b) Completion of a minimum of 2 days of formal training in Microsoft SharePoint (versions 2013 or newer) followed by a minimum of 12 months of experience, within the past 60 months, working with Microsoft SharePoint.
- Successful candidate is competent using records management and tracking software. Demonstrating experience by showing:
(a) A minimum of 24 months of experience working with records management and tracking software within the past 60 months; or
(b) A minimum of 2 days of formal training in records management and tracking software followed by a minimum of 12 months of experience, within the past 60 months, working with records management and tracking software. - Successful candidate is competent using key supporting project management tools including:
(a) Microsoft Power BI (or a similar data visualization tool);
(b) Adobe Acrobat Professional (or a similar PDF editing tool); and
(c) Microsoft Teams (or a similar web-based collaboration tool).
This ability must be demonstrated through a minimum of 12 months of combined experience in using the tools listed above within the last 60 months.
General tasks
- Monitor the QETE Task Management key positional mailboxes.
Assist the QETE Task Coordinator with calendar management. - Answer telephone and e-mail queries.
- Prepare a variety of documents / correspondence for the QETE Technical Authority’s approval.
- Distribute approved documents / correspondence.
- Assist in the production of QETE Task Management Team reports.
- Assist other members of the overarching QETE Chief of Staff Team.
- Prepare and submit requisitions for translation.
- Prepare and release weekly Missing Timesheets Report.
- Assist with the input for timesheets.
- Prepare and distribute client satisfaction surveys.
- Maintain key records tracking repositories and documents in SharePoint.
- Manage documents in RDIMS.
