DND Requires a consultant who will support clients in SharePoint Online and O365. The consultant must be able to document training resources and provide training to Site Administrators in SharePoint and O365 usage. The Information Management Architect is required to implement the O365 Project providing in-service support, and technical maintenance, and preparing their SharePoint Server 2019 sites for the migration of content and records to SharePoint Online. 

Mandatory requirements

  • Five (5) years of experience delivering O365 solutions, including the designing and implementation of Information Architecture solutions in IT/IM programs/projects;
  • Two (2) year of working in IM/IT at a Federal Government Department;
  • Two (2) years of experience designing, administering, and supporting SharePoint Online Sites, Microsoft Teams and collaboration solutions in 365;
  • Three (3) years of experience administering SharePoint Sites including managing permissions and groups, managing security of information, and implementing retention and disposition strategies using content types and metadata tagging, and IM Policies;
  • Three (3) years of experience in developing workflows in SharePoint using SharePoint Designer and Power Automate (Microsoft Flows) in 365;
  • Three (3) years of experience in developing business procedural documentation including instructional guides for Site Administrators, Microsoft Team Owners and business users;
  • Three (3) years of experience in in business analysis and/or business process mapping;
  • Three (3) years of experience contributing to all phases in the Development Life Cycle of a SharePoint Solution including requirements gathering, design, development, testing, roll-out, documentation, training, and support;
  • (2) years of working with O365 within DND.

General tasks

  • Designing, configuring, and deploying O365 and SharePoint Server 2019 and SharePoint Online sites. 
  • Preparing SharePoint On-Premises Sites for the migration to O365. 
  • Manage and provide support to Site Administrators of multiple site collections and manage and provide support to Microsoft Team Owners of multiple Microsoft Teams. 
  • Identifying, researching, and developing procedures in collaboration with the L1 Information Management Officer (IMO), IMO Community and other stakeholders to standardize effective design and use of SharePoint sites and its features, workflows and document and data management. 
  • Gather requirements from Site Administrators, Microsoft Team Owners and stakeholders as it relates to content, document and data management in SharePoint Sites and Teams. Take the requirements and design and develop these solutions and provide training and on-going support to the owners and business users of the solution. 
  • Design and development of the retention and disposition solution in SharePoint Online Sites following Microsoft Best Practices. 
  • Designing workflows in SharePoint Server using SharePoint Designer and/or Power Automate (Microsoft Flows) in SharePoint Online Team Sites. 
  • Identifying, researching, and developing procedures. 
  • Identifying and effectively communicate problems and implementing solutions for Site Administrators, Microsoft Team Owners and/or business users. 
  • Identifying, researching, designing, and implementing retention and disposition strategies for all content on SharePoint sites. 
  • Identifying, researching, and resolving complex technical problems. 
  • Providing monitoring and evaluating services. 
  • Responding to queries and requests from clients and provide advice. 
  • Participates in IMO Community and SharePoint Site Owner Meetings and IM business intelligence groups, remains current on upcoming SharePoint and Microsoft Teams features, best practices and solutions and shares and leverages knowledge internally. 
  • Administering, and supporting SharePoint Online Sites, Microsoft Teams and collaboration solutions in 365. 
  • Administering SharePoint Sites including managing permissions and groups, managing security of information, and implementing retention and disposition strategies using content types and metadata tagging, and IM Policies. 
  • Develop and facilitate design, implementation and support of a client’s Information Architecture in SharePoint Sites including taxonomy, site hierarchy and security. 
  • Document all changes performed. Facilitating and contributing to directed change management with the implementation and transition to SharePoint Online and Microsoft Teams. 
  • Training business users on the new SharePoint Online site and/or in the Microsoft Team. 
  • Analyzing business needs and capabilities. 
  • Develop business procedural documentation including instructional guides for Site Administrators, Microsoft Team Owners and business users.
